JOB SUMMARY: The Volunteer Experience Specialist is the primary liaison with volunteers across Habitat for Humanity of Greater Nashville (HFHGN) build sites. Serves as onsite concierge for build volunteers ensuring a positive and engaging build site experience. Works with Sponsor Relations Manager to facilitate sponsor volunteer registration in alignment with build sponsor and HFHGN needs. Maintains the Volunteer Registration System and individual registration links through the lifecycle of a sponsor’s Habitat experience. Responsible for volunteer engagement for special projects, such as wall panel builds, events and tree plantings, when applicable. This is an in-person, hands-on position that reports Monday – Friday partial year, and Wednesday – Sunday partial year, based on seasonality of the agency build schedule. Responsible for covering multiple build site locations across a 5-county radius with the use of a company issued vehicle.

KEY RESPONSIBILITY AREAS:

Volunteer Relations and Recruitment

  • Coordinate all aspects of agency vol5-county including scheduling, communication, administration and logistics for volunteer-based activities.
  • Engage with volunteers both in person and through electronic and other communication channels to ensure a positive volunteer experience.
  • Manage the intake and placement of all requests for volunteers and volunteer groups seeking to participate in a build site experience.
  • Develop new relationships with community volunteer groups, companies, and congregations in support of agency volunteer needs. This includes participation in service fairs.
  • Ensure volunteer database and Emma communication lists are updated and maintained.
  • Ensure timely updates to volunteer PR material and Habitat website working with the agency’s PR & Marketing Department.
  • Other duties as assigned.

Volunteer Coordination–Home Builds

  •  Primary responsibility for the Volunteer Registration System to assist in ongoing Sponsor and Volunteer administration. This includes facilitating automated volunteer signup, ongoing communication and reporting for all build volunteers.
  • Work with Sponsor Relations Manager to ensure volunteer numbers align with build day needs.
  • Recruit non-build sponsor volunteers when needed.
  • Responsible for covering multiple build site locations across a 5-county radius with the use of a company issued vehicle.
  • Act as build site concierge from 6:00am – 2:00pm. Activities include setup of volunteer registration; greeting of volunteer and sponsor coordinator, ensuring groups have breakfast, lunch, snacks and water; facilitating introductions of future Habitat homeowner, participation in scripted build site welcome.
  • Active engagement and presence on the build site to facilitate connection points to the build, Habitat experience and organizational mission. 
  • Coordinate staff volunteer needs for dedications, ground breakings, build days, and Volunteer Appreciation Events including organization and attendance at Supervisor on Site (SOS) gatherings, and other special projects.
  • Initiate timely internal communication with other staff members regarding upcoming builds.
  • Conduct follow up surveys of the Volunteer Experience for builds and prepare results for evaluation seasonally. Supervisor-on-Site Program Management
  • Help to identify potential Supervisors-on-Site and connect them with Construction.
  • Provide weekly communication with Supervisors-on-Site during the build season.
  • Engage and enhance relationships with current Supervisors-on-Site sending them post build weekend photos, surveys, and other external communications.
  • Assist in planning and coordination of Supervisors-on-Site events. Administrative
  • Provide administrative support for all volunteer activities.
  • Maintain updated Volunteer Release Form, necessary volunteer documents and updated procedures.
  • Generate volunteer reports as needed for the agency. 
  • Follow all agency policies and procedures. 
  • Perform other administrative duties as directed by the SVP of Philanthropy
  • Participate in and support agency activities as requested.

ESSENTIAL FUNCTIONS OF THE JOB:

  • The ability to carry out computer related skills, utilizing Microsoft Word, Excel, Outlook and Power Point.
  • Effectively carry out required administrative duties essential to ongoing volunteer management, including strong scheduling, organizational and reporting skills.
  • Must be able to meet deadlines and operate in a busy work environment that includes both office and build site responsibilities.
  • Must have a valid driver’s license.
  • Must have a clean driving record for insurance purposes
  • Ability to operate a motor vehicle.
  • The ability to cover multiple build site locations across a 5-county radius with the use of a company issued vehicle.

QUALIFICATIONS:

  • College degree preferred and/or a minimum of 3 to 5 years work experience in volunteer coordination.
  • Excellent written and verbal communication skills required.
  • Proficiency with Microsoft applications including Word, Excel and Outlook required.
  • Familiar with Salesforce.com or comparable customer relations software platform.
  • Must have aptitude for learning, utilizing and managing the online Volunteer Registration System.
  • Must enjoy serving others, be a team player, able to handle multiple tasks efficiently, be self-motivated and detail oriented.
  • Must have the ability and desire to work respectfully with people of all cultures, languages, national origins, races, ethnic backgrounds, religions, classes, immigration statuses, sexual orientations, gender identity and expressions, ages, mental or physical abilities, and other diversity factors. Must conduct all activities in accordance with Habitat principles.

TIME REQUIREMENTS: This position will require 40 hours per week (Seasonal overtime maybe expected). Must be available to work Saturdays and Sundays during the defined build seasons. Regular office hours required, as well as availability to coordinate volunteer activities on the construction site on designated Saturdays and Sundays and to attend occasional evening meetings.
